Terms and Conditions

Once your booking is complete, confirmed, and the full deposit has been paid, a contract is officially in place. Upon confirmation, check that all information is correct and names match your passport exactly. You must be at least 18 years old at the time of booking.

You must provide information about any medical conditions. Medical forms will be required for some tours (e.g., canyoneering in the Philippines). By completing the form, you confirm all information is accurate.

I'm Here Travels reserves the right to:

• Seek professional medical opinions for your safety and others'

• Deny permission to travel or participate in certain activities if you are deemed a risk

• Cancel your booking (with cancellation fees applied) if medical forms are not completed or accurate information is not provided

Special requirements must be provided at the time of booking so I'm Here Travels can make arrangements. These will be passed to third-party contractors if needed. Note: I'm Here Travels is not liable if a third party initially agrees but fails to comply. All food allergies must be stated at booking.

The main demographic is 18–35, but guests under 18 are classified as minors and must always be accompanied by an adult. The accompanying adult is responsible for the minor's behavior, wellbeing, and supervision. I'm Here Travels does not provide care services for minors.

All travellers must obtain travel insurance before joining any tour. Minimum coverage required: £150,000 for medical and evacuation. Coverage is strongly advised for cancellation, lost baggage/gadgets, damage, delay, or inconvenience. Guests are responsible for informing their insurer of the travel type, destination, and activities. I'm Here Travels recommends SafetyWing as a reputable provider.

Once a booking is made and deposit paid, I'm Here Travels will not increase the tour price. Prices may be reduced (e.g., early bird for first 8 bookings, Black Friday sales).

Important: Bookings made during Black Friday sales or other promotional periods at a discounted rate are strictly non-refundable.

Dates, itineraries, and prices can be changed at any time before a booking is made. Prices stated at the time of booking are confirmed. Guests are responsible for staying up to date via the website, social media, and group chats, as minor changes may be made prior to the tour start date.

By booking, you acknowledge that I'm Here Travels tours are adventurous and involve a certain level of risk. Tours may visit areas with different political/cultural environments and weather conditions that may present dangers. Staff stay up to date with current events and relevant information to assess situations.

• A deposit of £200, £250, or £300 is required at booking — non-refundable

• Payments beyond the deposit are refundable up to 60 days before the tour start date

• Full payment must be settled no later than 60 days (2 months) before the tour start date to avoid cancellation

• Some tours may require full payment depending on how close to the start date the booking is made

• Payment plans available: 4 instalments, 3 instalments, 2 instalments, or full payment

For all bookings made before August 26, 2024, deposits are fully refundable. After this date, deposits are non-refundable.

I'm Here Travels reserves the right to request relevant information. Guests who fail to provide accurate information (for air tickets, activities, etc.) will be liable for any additional costs incurred. I'm Here Travels is not liable for costs arising from human error, inaccuracies, or late/incomplete information.

International flights are not included in tour prices. Internal flights included in tours are non-refundable due to late cancellation or missed flights. I'm Here Travels acts only as a third-party agent with flight providers and is not responsible for flight changes or communicating international flight information.

Guests may cancel at any time by notifying I'm Here Travels via email or social media.

Reservation Fee & Payment Terms:

• Reservation fee is non-refundable but can be used for rebooking

• Other payments refundable with a 10% deduction (bank/admin fees)

Cancellation & Refund Policy:

• 100+ days before tour start: 100% refund, minus bank and administrative charges

• 60–99 days before tour start: 50% refund, minus bank and administrative charges

• 59 days or fewer before tour start, or after tour start: No refund

All deposits are non-refundable unless otherwise stated above.

Cancellations for Arrival Transfers, Pre/Post-Night Accommodations, private rooms, or optional third-party activities are subject to the same conditions.

Booking Changes: Guests wishing to make changes must inform I'm Here Travels as soon as possible. While every reasonable effort will be made, changes cannot be guaranteed. If changes are possible, the guest agrees to cover any additional costs. The closer to the departure date, the higher those costs may be.

If a tour is cancelled before the start date (not due to customer fault), guests will be offered:

a) A substitute tour in the same region of equal value

b) A substitute tour of lesser value with the difference refunded

c) A full refund

If a tour is cancelled after commencement (not due to customer fault), guests will be offered:

a) A travel credit applicable to any I'm Here Travels tour

b) A refund minus the cost of days already passed

If a tour is changed, guests will be informed immediately and offered:

a) Accept the changes and proceed with the booking

b) Book another tour of similar or greater value (guest liable for additional costs)

c) Book another tour of lesser value (difference refunded to guest)

Guests are responsible for obtaining and keeping all relevant documents, including:

• Passport valid for at least 6 months past the tour end date

• Relevant visas

• Vaccination certificates (if required)

• Insurance policies

All costs of obtaining these documents are the guest's responsibility. I'm Here Travels is not liable for loss, destruction, or errors in these documents.

Most tours offer optional additional services and activities for free days, provided by third parties and not included in the tour cost. Any assistance by I'm Here Travels in booking these is purely at the guest's request. I'm Here Travels is not liable for any loss, damages, inconveniences, injuries, illness, or emotional distress from additional services or activities.

If guests book external trips (not through I'm Here Travels' third parties) on free days, they do so at their own risk. I'm Here Travels is not liable for any damages or inconveniences arising from such tours.

By booking, you agree that photos and videos taken during the tour by I'm Here Travels, other participants, or affiliates featuring you may be used for marketing or promotional purposes royalty-free.

I'm Here Travels aims to ensure guests have the best experience possible. If an issue arises, guests should first approach their group leader to resolve it quickly. If still unsatisfied, guests may contact I'm Here Travels head office at info@imheretravels.com. I'm Here Travels is not liable for complaints with third parties but will assist to the best of their ability.
